# The Company Brain Is the New Microsoft Access

**Alex Castro** · November 4, 2026

**Someone at your firm may have built an AI "company brain" last weekend. It runs on their laptop, it can read your client files, and only they can use it.**

> **In 30 seconds**
>
> - AI "company brains" went mainstream this year. Anyone can build one over a weekend with free tools.
> - At a firm with client data, the weekend version breaks fast: everyone sees everything, nobody owns it, and its answers show no sources.
> - The fix is one approved company brain your people would rather use than build.
> - Start with one question your firm answers badly today.

## Why your people are building their own

They're not trying to cause trouble. They're tired of spending an hour digging through inboxes and shared drives to answer "what did we promise that client?"

So they copy the emails, meeting notes and client files into an AI tool and build their own. It works for them, and that's how client data ends up somewhere your firm never approved.

## Why it's happening now

This spring, AI researcher Andrej Karpathy described using an AI model to compile his documents into a connected wiki that keeps itself up to date and answers questions. ([Techstrong.ai](https://techstrong.ai/features/karpathys-instructions-for-building-an-ai-driven-second-brain/))

Block's Jack Dorsey and Sequoia's Roelof Botha then argued that a company-wide AI model of the business can do much of the information-routing a management hierarchy does today. ([CoinDesk](https://www.coindesk.com/tech/2026/04/01/jack-dorsey-says-ai-should-replace-corporate-hierarchy-after-block-cuts-4-000-jobs))

Within weeks, tutorials showed how to build a small version over a weekend. The idea is sound. A company brain can answer questions no single document answers, and it gets better every week it runs.

## We've seen this before

In the 1990s, Microsoft Access let anyone build a database on their desktop. Every team ended up with its own customer list, its own numbers and a fragile tool only one person understood. When that person left, the knowledge left too.

The weekend company brain is heading the same way.

## Where the weekend version breaks

- **Everyone sees everything.** Email, chat and files go into one pile, client files and HR notes included.
- **It runs on a laptop.** Your client data ends up in tools the firm never approved.
- **Only the builder can ask it.** "How do I share this with my team?" is the most common question from people who try.
- **Nobody owns it.** When answers go stale or wrong, nobody fixes them.
- **Answers show no source.** People act on confident answers they can't check.
- **Five teams build five brains.** That's Microsoft Access all over again.

## What a company brain you own needs

Banning it only drives it out of sight. Give your people an approved one that's better than anything they'd build:

1. **Approved sources.** You choose what goes in and what stays out.
2. **Your permissions.** People only get answers from information they can already see.
3. **Your cloud.** It runs in an environment you control.
4. **Sourced answers.** Every answer shows where it came from.
5. **An owner.** Someone keeps it current and tests it before anyone relies on it.

We build ours on a knowledge graph, which connects the people, clients, projects and decisions across your documents. That's how it answers questions that span them.

## Start with one question

Pick one question your firm answers badly today:

- What did we commit to this client?
- Which client promises never got a follow-up?
- How does this policy apply to an unusual case?
- Which version of this document is current?

The second question is where a company brain earns its keep. It can see every meeting and message at once, so it can spot the gaps no single person would notice.

**See one at work:** in this [45-second demo](https://www.1159.ai/resources/ai-lab#answers), staff ask questions of approved documents and every answer shows its source.

A company brain is part of [Standardized AI Adoption](https://www.1159.ai/services/standardized-ai-adoption): one safe, approved way for everyone at your firm to build with AI. Every AI and cloud project delivered since 2022.

Your people will build a company brain either way. Make sure it's one you own.

## Frequently asked questions

**What is a company brain?** A company brain is an AI system that connects what your firm knows, across documents, meetings, email and business systems, so people can ask questions and get answers that draw on all of it. It organizes that knowledge into a connected structure that improves as more information is added.

**Is a company brain the same as a second brain?** They're closely related. "Second brain" usually means one person's notes and knowledge. A company brain does the same for a whole firm, so it also needs approved sources, permissions, an owner and answers that show their source.

**Can we build a company brain ourselves?** Yes. A small version can be built quickly with off-the-shelf tools. For a firm with client data, the harder work comes after the build: controlling who sees what, running it in your own environment, keeping it current and making sure every answer can be checked.
